Frequently Asked Questions
Is this invoice generator really free?
Yes, completely free. No trial period, no hidden fees, no credit card required. We generate revenue through advertising, which keeps the tool free for everyone.
Are my invoices legally valid?
The invoices contain all the standard fields required in most countries: business name, contact info, invoice number, date, itemized services, and total. Requirements vary by jurisdiction — consult a local accountant if you need country-specific compliance (e.g. VAT numbers in the EU).
Can I save my invoice and come back to it?
Currently the tool doesn't save between sessions — download your PDF immediately after creating it. We recommend keeping a copy of the PDF in a folder organized by client and date. Future versions may add save functionality.
What currencies are supported?
We support USD, GBP, EUR, CAD, AUD, JPY, and INR. The currency symbol appears throughout the invoice. If you need a currency not listed, select the closest and note the currency in the Notes field.
How do I number my invoices?
A common system is INV-001, INV-002, etc. or year-based like 2025-001. Some freelancers use client initials: ACME-001. The format doesn't matter for legality, but sequential numbering helps you track invoices and is useful for accounting records.
How to Create a Professional Invoice

Generate a complete, downloadable PDF invoice with your logo, line items, tax, and payment terms.

01
Add your business details
Enter your business name, address, email, and phone. These appear in the invoice header. Optionally upload your logo — it makes invoices look professional instantly.
02
Add client details
Enter your client's name, company, and address. If you invoice the same client repeatedly, these save in the template for next time.
03
Set invoice number and dates
Invoice numbers should be sequential. Set the issue date (today) and payment due date — 14, 30, or 60 days is standard depending on your industry.
04
Add line items
Each line has a description, quantity, and unit price. Be specific — 'Website design and development' is better than 'Design work'. Specificity reduces disputes.
05
Add tax and discounts
Enter your VAT/sales tax rate if applicable. Discounts can be per-line or on the total. The subtotal, tax, and total calculate automatically.
06
Download as PDF
The PDF has no ToolStack watermark. It's yours completely. Save a copy for your records and email it to your client.
💡
💡 Always include your payment terms and bank details on the invoice itself. Having to chase clients for account details delays payment. Late payment fees (e.g. 1.5%/month) should be stated upfront.
