Receipt vs. Invoice

When do I need to issue a receipt?

In most countries, businesses must provide a receipt on request. In the UK, you're legally required to provide a VAT receipt if VAT-registered. For cash transactions, a receipt provides both parties with proof of the sale and amount paid.

What to include on a receipt

A valid receipt should show: your business name and contact details, the date, a description of goods or services, amounts paid, payment method, and a unique receipt number. If VAT-registered, also include your VAT number and the VAT amount.

Saving and filing receipts

Keep copies of all receipts for at least 6 years (UK HMRC requirement). Download this receipt as a PDF using the Print button — your browser will let you "Save as PDF." Store PDFs in a folder named by year and month for easy retrieval at tax time.

This generator creates a professional receipt document. For most consumer and business transactions it is perfectly suitable. However, if you are VAT-registered you must also include your VAT registration number on the receipt. Always consult a local accountant for specific legal requirements in your jurisdiction.
How do I save the receipt as a PDF?
Click the "Print / Save PDF" button. In the print dialog, change the destination/printer to "Save as PDF" (Chrome, Edge) or "PDF" (Safari, Firefox). Choose your save location and click Save. The receipt preview is designed to print cleanly without the editor interface.
Can I use this for a cash sale?
Yes — select "Cash" as the payment method. The receipt will clearly show "Payment Method: Cash" and the amount paid. This creates an appropriate record for both you and the customer for any cash transaction.
What is a receipt number?
A receipt number is a unique identifier for each transaction. It helps you and your customer reference the receipt easily if there are any questions. Typically sequential (REC-0001, REC-0002…) — just increment the number for each new receipt you issue.

Receipt numbers should be sequential. The date is usually today — the date payment was received, not when the invoice was issued.
